Position: Senior Administration Assistant – Medical Services
We are looking for a proactive and detail-oriented Senior Administration Assistant to support our Aviation Medicine department. This role is pivotal in ensuring the smooth daily functioning of both the medical and dental reception areas and telephone services. The ideal candidate will assist the Clinic Administration Officer, manage workflow processes, and help drive continuous improvement initiatives.
Key Responsibilities
- Medical Licensing Coordination: Maintain and organize all documentation related to Aviation Medical Licensing in coordination with physicians.
- Process Oversight: Monitor workload and operational issues in designated areas, recommending and assisting in implementing process improvements.
- E-Workflow Monitoring: Initiate and track specialized MEDIF workflows while coordinating with internal stakeholders until issues are resolved.
- Telephone Operations: Ensure optimal functioning of the telephone room using computerized tracking systems, resolving issues promptly and escalating as necessary.
- Reception Management: Oversee the clinic’s front desk operations, ensure seamless appointment scheduling, and resolve front-line issues efficiently.
- Facility Upkeep: Ensure the cleanliness of public areas in Medical Services and liaise with maintenance as needed.
- Resource Coordination: Manage bookings for conference rooms, library, and clinic equipment to ensure effective usage.
- Team Support: Assist in compiling training material, reallocate clerical resources as needed, and generate rosters to maintain operational coverage.
Qualifications & Requirements
- Minimum 3 years of administration experience
- Completion of 10 years of schooling or equivalent
- Fluent in English – both written and spoken
- Proficient in Microsoft Office tools (Word, Excel, PowerPoint)
- Skilled in using business telephone systems
- Medical/Dental environment experience is advantageous
- Customer service experience is a plus
